Handling Clients With Different Email Preferences for ITR & CTR
Case: We have many individual clients who serve as public officers or directors of companies. They prefer to receive their Individual Tax Return (ITR) via their personal email, and their Company Tax Return (CTR) via their business email.
Illustration: Sometimes a client wants their e-signature request for ITR to be sent to their personal email, but when the same individual is acting as a director of a company, they prefer the CTR e-signature request to go to their business email.
LodgeiT allows this workflow with a few setup options.
Answer: You can manage this in two ways, depending on what works best for your workflow.Option 1: Create a Duplicate Client Profile
This method gives you full control and avoids confusion when sending requests.
If you need clear separation between “Individual role” and “Company director role,” you can create a duplicate client with distinctions.
Steps:
Create a second client record
Add a name distinction such as “Chris Doe (Individual)” and “Chris Doe (Director)”.
Assign the appropriate email
Personal email for the individual profile
Business email for the director profile
Where to Set Email Addresses
For Company Tax Forms:
Refer to the help guide “Settings - Primary Contact/Signatory” and set the correct business email for the director.For Individual Tax Forms:
Ensure the Primary Email in the client’s Contact Details (for example, “Doe, Chris”) is the personal email they want their ITR to be sent to.
Option 2: Use “Send to Someone Else” for CTR
If you prefer not to duplicate clients, you can override the email on a per-form basis.
For CTR (Company Tax Return):
Select “Send to someone else” in the e-sign section (highlighted in yellow in the interface).

Choose or enter the business email the director prefers.
Once the CTR e-sign is sent and completed, the system will remember this selection.
On the next CTR e-sign request, the system will pre-fill the previously used business email.
For ITR or CTR sent to the individual:
Select “Send to primary contact”
This will send the e-sign to the email saved as the Primary Email in the client profile.

Important Notes
The system remembers email selections only for e-sign on forms/tax returns.
It does not remember selections for financial reports.
